Stay to Play - Hotel Requirements

Any team booking hotel rooms for this tournament MUST book their rooms through our exclusive rooming provider. Any team who is known to have booked accommodations through an alternate provider, or by booking directly with a hotel - without the express, written permission from the tournament chair - will be removed from the tournament with NO refund.

NEW FOR 2025: The hotel inventory will start to be released to all *confirmed* teams no later than Tuesday, July 2, 2024.


Refunds for Withdrawals

Refunds may be provided for teams depending on the date of withdrawal relative to the first scheduled game of the tournament:

  • 60 or more days: full refund, less a $50 administration fee.
  • 30 to 59 days: 50% refund UNLESS a suitable replacement team can be found, in which case a 75% refund will be available. *
  • 29 or fewer days: 0% refund UNLESS a suitable replacement team can be found, in which case a 50% refund will be available. *

* Full refunds are not available for late withdrawals even when replacement teams are found since those replacement teams are usually offered a discount to disrupt their schedule by entering a tournament well after their season has already started.


Timing of Acceptance

Teams will be accepted automatically, however, even though deposits are available, payment of the full entry fee is required to CONFIRM (guarantee) your spot unless specific written accommodations have been provided by the tournament director. Successful online payments ensure this happens instantly. If sending a cheque (full amount only), as long as it is received within 10 days of acceptance your spot will also be confirmed. Cheques received 10 or more days after acceptance will mark your spot as confirmed only if the division is not full at the time the cheque is received.


OMHA Tournament Regulations

This tournament is subject to all rules and regulations set forth by the OMHA for tournament hosts including, but not limited to,:

  • All players must be on an approved official Hockey Canada or USA Hockey roster
  • Affiliated Players (APs) are eligible to play, as long as they have been approved by your governing body
  • All teams, including OMHA teams, will require an approved travel permit from your governing body
  • The approved travel permit and official approved team roster must be submitted prior to your first game (note: we'll ask for these documents several weeks in advance)

Unforeseen Emergency Cancellation

In the event that an entire division is cancelled due to reasons outside of the control of the Oakville Rangers Hockey Club (for example, public health emergency, significant weather event, arena closure, etc), all teams in that division will receive a full refund LESS 15% of the division fee, and will receive all tournament promotional materials owed to them.
