Tournament and Exhibition Game Travel Permits


Any team entering a Tournament or playing an Exhibition Game MUST have a valid travel permit. This includes Exhibition Games being hosted in Oakville. These permits must accompany the team to the Tournament or Exhibition Game and be available for verification of coverage. If a team is participating in an OMHA Sanctioned Tournament a travel permit will be issued by the OMHA office and no fee is charged. Any Tournament outside of the OMHA (GTHL, Alliance, NOHA, HEO, USA Hockey, etc.) must also have an approved OMHA travel permit, and the applicable cost for this permit is covered by the ORHC.

A MINIMUM of 10 days notice is required for all Permit Requests!

Travel Permits are requested and managed through SportsKeeper. All Head Coaches and Team Managers have access to SportsKeeper, and there are step-by-step instructions for requesting and managing your Travel Permit requests below.


Understanding the Travel Permit Approval Process
Your permit requests go through a few levels of approval, and the Status of the request will show you where it is at in the cycle:

  • Awaiting Tournament Verification: when a Tournament is entered in manually, the office must first verify that it is a sanctioned and eligible tournament
  • Pending 1st Approval: the Permit is pending approval from the House League Coordinator (HL, Select, and Advanced League only)
  • Pending 2nd Approval: the Permit is pending office approval
  • Pending Submission to OMHA: the office has approved the Permit, but it has not yet been sent to the OMHA for final approval
  • Submitted: the Permit has been sent to the OMHA and is awaiting their approval
  • Approved/Denied: the OMHA has approved/denied the Travel Permit, final status

A point to note regarding the Pending Submission to OMHA status. In many cases there is a gap in time between the office approving your Permit Request and it being sent to the OMHA for final approval. SportsKeeper does not submit the Permit Request to the OMHA until 45 days prior to the event. For example, the Winter Classic is not until January 14th. The system is not going to submit those Permit Requests to the OMHA until November 30th, 45 days before the tournament.

You do not have to wait until you have been accepted to a tournament to submit your Travel Permit request. Submit your request as soon as you’ve decided to attend.


Using SportsKeeper
SportsKeeper is the in-house application used to give teams access to their Hockey Canada Official Roster and to manager their Travel Permits. The introduction of HCR 3.0 sent SportsKeeper into a spiral that has, unfortunately, ruined much of its functionality. Teams will use SportsKeeper to download their Hockey Canada Official Roster and to request and manage their Travel Permits. You will see several other applications there – disregard them as most of it doesn’t work anymore… Just use it for Rosters and Permits.


To Request Your Hockey Canada Official Roster

  1. Log into SportsKeeper: https://moha.sportskeeper.org/users/login/
  2. In the Menu on the left-hand side, under the Team heading, select Information
    Note the Team Status in the upper-right corner - if that is not APPROVED you may have difficulty downloading your Roster
  3. Near the middle of the screen, click on Request Roster
  4. Use the boxes at the top to indicate who you want the roster emailed to, and there is also a freehand box if you want it emailed to someone who isn’t listed. When you are done, click the blue Request Roster button
    It is not recommended that you use this to email your roster directly to your Tournament Convenors as it can cause them a bit of confusion. Better to have the roster sent to yourself, then you pass it along to the Tourney with your team info and Travel Permit.
  5. You will now see the status of the request, and the page will update automatically when the request is complete. Be patient, it can take a few minutes for the request to process.

The system retains any roster you’ve requested for 14-days to allow for a quick and easy re-download if needed. On the Team Information page, you will now see a second button there to redownload the roster as of ‘x’ date and time. From time to time, if something has changed on your Official Roster the office may say to you “go download a fresh roster”. What is meant by a Fresh Roster is to come back to this screen and download a new roster, not one of the older requests, so you have a “fresh” roster that reflects those changes.


To Request a Tournament or Exhibition Game Permit

  1. SportsKeeper: https://moha.sportskeeper.org/users/login/
  2. In the Menu on the left-hand side, under the Team heading, select Information
  3. Near the middle of the screen, below the Roster buttons, click on Request Tournament Permit or click on Request Exhibition Permit
  4. The next screen varies depending on what type of Permit you are requesting:
  5. If you are requesting a Tournament Permit…
    1. Use the Search Box to search for your Tournament
    2. If it is found, click on its name. If it is not found, use the big link at the top to enter the Tournament Details manually
    3. Click Request Permit to Attend This Tournament then click Confirm Travel Permit Request and good to!
  6. If you are requesting an Exhibition Permit…
    1. Simply fill out the form and click on Add New Exhibition at the bottom of the page
    2. If you are HOSTING the Exhibition game, click the checkbox to request Referees and a Timekeeper for the game
    3. Be careful that your start and end dates/times are entered accurately. After entering your start date, SK tends to default to 6 hours later as the end time. And, if that takes you past midnight, sometimes the date gets messed up and must be manually corrected.
